Buying from Japan does not end when your package is shipped.

After shipping, a new stage begins: tracking updates, customs processing, local delivery, and sometimes notices or extra import steps in your country.

This stage can feel confusing, especially when the tracking has not changed for a few days or when a customs message appears for the first time.

This guide explains how to read tracking updates after buying from Japan, what common Japan Post statuses usually mean, what may depend on customs or the local carrier, and when it makes sense to contact Negai Japan for help.

The goal is not to promise an exact delivery date. It is to help you understand what is happening, what to check, and what the next step may be.

If you are still learning how proxy buying works, you can also read our guide on what proxy buying is.

Why tracking can feel confusing after a package leaves Japan

Tracking is useful, but it does not always show every movement in real time.

After a package leaves Japan, it may pass through several systems:
  • Japan Post in Japan;
  • international exchange offices;
  • customs in the destination country;
  • the local postal service or local delivery carrier;
  • pickup counters, parcel lockers, or local delivery attempts.
Each system may update at a different speed. Sometimes Japan-side tracking shows one status while the local postal service shows another. Sometimes the local carrier updates first. Sometimes there is no new scan until the package reaches the next major checkpoint.

A pause does not automatically mean something is wrong.

Tracking is a signal. It helps you follow the package, but it may not explain every delay, customs step, or local delivery action.

Where to find your tracking code

Once your package is dispatched to Japan Post, Negai Japan updates your order in our system. This sends a shipping email with your tracking number, so you can follow the package through the official carrier page and, when available, your local postal service.

Keep the tracking code somewhere easy to find. You may need it to check the official carrier page, your local postal service, or a customs-related notice in your country.

Check the official tracking page first

The official carrier tracking page should be your first reference.

For Japan Post shipments, you can check the official Japan Post tracking page. After the package reaches the destination country, the same tracking code may also work on your local postal service website, depending on the country and shipping method.

Tracking aggregator tools can be useful as a secondary reference, but they should not replace the official carrier or local postal service information.

Check the local postal service too

After the package arrives in your country, your local postal service or delivery carrier may show more useful local details, such as:
  • customs payment notice;
  • attempted delivery;
  • pickup location;
  • retention;
  • address issue;
  • local delivery status;
  • delivery completion.
If the local carrier is asking for action, follow the local instructions as soon as possible.

Common Japan Post tracking statuses and what they usually mean

Japan Post tracking may show several status messages during international delivery.

The exact wording can vary depending on the country, system, and shipping method, so use these explanations as a general guide.
A simple tracking timeline with generic status cards for an international package.A simple tracking timeline with generic status cards for an international package.

Posting / Collection

This usually means the package has been accepted by the postal system.

At this stage, the package has entered the carrier flow and is waiting for the next processing step.

Arrival at outward office of exchange

This usually means the package has reached an international exchange office in Japan.

The package is being prepared for international dispatch or export-side processing.

Dispatch from outward office of exchange

This usually means the package has moved from Japan’s outward exchange process toward the destination route.

After this status, tracking may pause for a while. The next update may only appear when the package reaches another major checkpoint, such as an inward exchange office, customs, or the local carrier system.

Arrival at inward office of exchange

This usually means the package has reached the destination country or a destination-side international processing point.

From here, the package may move into customs processing or local delivery preparation.

In Customs / Held by import Customs

This usually means the package is being reviewed by customs or import processing.

It does not always mean there is a problem. Customs may simply be checking the shipment. Depending on the country, the recipient may need to pay import fees, provide documents, or wait for the local process to continue.

Customs decisions, import fees, and handling charges are decided by the destination country and are not controlled by Negai Japan.

Departure from inward office of exchange

This usually means the package has moved out of the inward exchange process and may be moving toward local delivery.

At this stage, the local postal service may become the better source for detailed updates.

Processing at delivery post office

This usually means the package has reached a local delivery office or local processing location.

The next steps may include delivery preparation, pickup notice, attempted delivery, or final delivery.

Retention

This usually means the package is being held by the local post office or delivery carrier.

This may happen because the package is waiting for pickup, payment, address confirmation, or another local action. Check the local tracking page and any notice from the carrier.

Absence / Attempted delivery

This usually means the carrier tried to deliver the package but could not complete delivery.

Check whether the carrier left a notice, sent an email, updated the local tracking page, or provided instructions for redelivery or pickup.

Delivered / Final delivery

This means the carrier has marked the package as delivered.

If you cannot find the package, first check with household members, building staff, parcel lockers, mailbox areas, neighbors if appropriate, and the local carrier.

If the package still cannot be found, contact the local carrier and then contact Negai Japan with the tracking details.

Why tracking may stop updating for a while

Tracking can stop updating for several reasons.

For example, the package may be:
  • between carrier facilities;
  • waiting for the next scan;
  • moving internationally;
  • waiting for customs processing;
  • waiting for the destination country’s tracking system to update;
  • being processed by the local carrier.
This is especially common after “Dispatch from outward office of exchange,” because the next update may not appear until the package reaches the next major checkpoint.

Delivery references from carriers are usually estimates or average delivery times, not exact promises. Japan Post explains that listed delivery days are average references and that actual delivery may take longer because of customs clearance, remote destinations, weekends, holidays, or transport delays. See Japan Post’s delivery-days guidance.

For that reason, it is better not to judge a package only by the number of days since the last scan. The shipping method, destination country, route availability, customs process, and local delivery system all matter.

Customs holds and import fees

Customs is one of the most common points of confusion in international delivery.

A customs status may mean that the package is being reviewed, waiting for import processing, waiting for tax assessment, or waiting for action from the recipient.

What customs may ask for

Depending on your country, customs or the local carrier may ask for:
  • import fee payment;
  • customs duties or taxes;
  • handling fee payment;
  • recipient information;
  • proof of purchase;
  • invoice details;
  • product description;
  • confirmation of item value.
The exact process depends on the destination country.

What you should do

If the package is in customs or waiting for local action, check:
  • the local postal service tracking page;
  • email or SMS notices from the carrier;
  • postal mailbox or delivery notice;
  • local customs or payment portal;
  • any deadline shown by the local carrier.
If a payment or document request appears, follow the instructions from the local postal service or customs office.

Negai Japan can help you understand the general shipment information and review available order details, but we cannot control customs decisions, import tax amounts, release timing, or local handling fees.

If the package is waiting for pickup or delivery action

Sometimes a package is not delayed in the international route. It may already be in the destination country but waiting for local action.

This may happen when:
  • delivery was attempted while nobody was available;
  • import fees need to be paid;
  • the package is waiting at a post office;
  • the local carrier needs address confirmation;
  • customs needs additional information;
  • the package is held for pickup.
In this situation, the local carrier is usually the most important source of information.

Check the local tracking page carefully. If there is a pickup notice, payment request, or redelivery option, follow the local instructions shown by the local carrier.

Pickup periods, redelivery options, and storage deadlines can vary by country and carrier, so the local postal service or delivery carrier should be treated as the main source for that step.

If tracking is stuck or the package may be delayed

If tracking has not changed for longer than expected, start by checking the official tracking pages.

Check:
  • Japan Post tracking;
  • the local postal service or local carrier tracking;
  • any email, SMS, or postal notice;
  • whether the destination country has known service delays;
  • whether the package is in customs or local retention.
Japan Post publishes service availability and delay notices by country or territory. Because route availability and delivery conditions can change, current carrier information should be checked before making assumptions about a delay. Check Japan Post service availability.

When to contact Negai Japan

Contact Negai Japan if:
  • the tracking has not changed after the expected delivery window for the selected shipping method and destination;
  • the local carrier asks for shipment details you cannot find;
  • customs asks for order information;
  • the package appears to be returned;
  • the package arrived damaged;
  • the package is marked as delivered but you cannot find it;
  • the local carrier says an inquiry from the sender may be needed.
When you contact us, we will check the official tracking information, the shipping method, the shipment date, and any available carrier updates before suggesting the next step.

What Negai Japan can check

When you contact us, we can review:
  • the order record;
  • the shipping method;
  • the tracking number;
  • the shipping date;
  • available official tracking information;
  • relevant shipment details that may help explain the next step.
If an inquiry is appropriate, the available process may depend on the shipping method, carrier rules, timing, destination country, and current tracking status.

For shipments arranged by Negai Japan, if a sender-side inquiry is needed, Negai Japan will review the case and guide the process. Depending on the situation, the customer may also need to contact the local postal service or carrier and provide photos, notices, or other documents.

If the package is returned to Japan

A returned package can happen for different reasons.

Common possibilities include:
  • import fees were not paid in time;
  • the package was not picked up before the local deadline;
  • delivery was attempted but not completed;
  • the address could not be confirmed;
  • customs or the local carrier returned the parcel;
  • the item could not be imported under local rules.
The tracking status may not explain the full reason immediately.

Before deciding the next step, Negai Japan needs to confirm the package status, the return reason when available, and any additional costs.

Possible next steps may include reshipping, updating the address, changing the shipping method if needed, or reviewing whether additional charges apply.

Returned-package handling is reviewed case by case.

If the return was caused by unpaid import fees, missed pickup, local carrier retention, incomplete or incorrect recipient information, customs processing, or another local action that was not completed, the customer may need to pay the new shipping cost and any additional charges before the package can be sent again.

If the return was caused by a confirmed Negai Japan handling error, we will review the case and explain the correction options.

Free reshipping, shipping coverage, or other exceptions should not be assumed unless Negai Japan confirms them for that specific case.

If the package arrives damaged

If your package arrives damaged, keep everything.

Do not throw away the shipping box, inner packaging, label, or damaged item before the situation is reviewed.

Take clear photos of:
  • the outside of the box;
  • the shipping label area;
  • damaged areas of the box;
  • inner packaging;
  • damaged item;
  • all sides of the item box, if it is a collectible;
  • any notice or document from the carrier.
Japan Post explains that when an item arrives damaged, the recipient should inform the local delivery post office immediately and keep both the contents and packaging. Compensation claims are processed based on investigation results. See Japan Post’s damage guidance.

Negai Japan can review the available information, but we cannot guarantee that a carrier claim will be accepted, that compensation will apply, or that a specific amount will be paid.

If the package appears lost

Try not to assume a package is lost only because tracking has not updated.

A package may be delayed, waiting for a scan, held by customs, retained locally, or moving through a route where tracking updates are limited.

If the package has not arrived and tracking has not changed beyond the expected window for the shipping method and destination, an inquiry may be possible depending on the carrier rules and timing.

Japan Post states that investigation requests may be available for certain international mail types, including registered, insured, Air Packet items, parcels, and EMS. The inquiry period and process can depend on the service, posting method, and destination country or territory. See Japan Post’s inquiry request information.

For shipments arranged by Negai Japan, we will review the tracking information and shipment details before deciding whether a sender-side inquiry is appropriate. If local carrier action is required, the customer may also need to contact the local postal service in the destination country.

What to prepare before contacting support

When contacting Negai Japan about a tracking or delivery issue, please include as much relevant information as possible.

Useful details include:
  • order number;
  • tracking number;
  • latest tracking screenshot;
  • local carrier tracking screenshot, if different;
  • customs notice, if any;
  • import fee notice, if any;
  • delivery attempt notice, if any;
  • photos of the package, if damaged;
  • photos of the item and inner packaging, if damaged;
  • any message from the local postal service or carrier.
This helps us review the situation more clearly and explain the next step with better context.

How to reduce post-purchase issues before your next order

Not every delivery issue can be prevented, but a few habits can reduce confusion later.

Before shipping, make sure your delivery details are correct, including name, address, postal code, and phone number when required.

After shipping, monitor both the official Japan-side tracking and the local carrier tracking in your country.

If your country often requires import fee payment, check local postal notices carefully after the package arrives.

If you are buying fragile collectibles, remember that packing and shipping method choices matter. A lower-cost method may not always be the best match for every item, especially if the package is large, fragile, or important to you.

Before your next order, you can also use Negai Japan’s Cost Calculator to estimate possible shipping scenarios before deciding.

The final international shipping cost can only be confirmed after the package is packed and measured, but an estimate can help you understand the likely shipping situation earlier.

FAQ

Why did my tracking stop after “Dispatch from outward office of exchange”?

This can happen when the package has left the Japan-side international exchange process and is waiting for the next major scan.

The next update may appear only after the package reaches the destination country, customs, or the local carrier system.

A tracking pause does not automatically mean the package is lost.

Does “In Customs” mean there is a problem?

Not always.

It usually means the package is being reviewed by customs or import processing.

Depending on the country, customs may release the package without action, apply import fees, request information, or ask the recipient to follow a local process.

Who pays import fees or customs charges?

Import fees, customs duties, taxes, handling fees, and local charges are decided by the destination country and are the customer’s responsibility.

Negai Japan does not control the amount, timing, or decision.

Can Negai Japan contact customs for me?

Negai Japan can review the shipment information and help explain what the tracking status may mean.

However, customs procedures are handled by the destination country. In many cases, the recipient must follow the local carrier or customs instructions directly.

What should I do if my package says delivered but I cannot find it?

First check with household members, building staff, parcel lockers, mailbox areas, and the local carrier.

If the package still cannot be found, contact the local carrier and then contact Negai Japan with the tracking number and available details.

What should I do if my package arrived damaged?

Keep the item, shipping box, inner packaging, shipping label, and all related materials.

Take clear photos before moving or discarding anything. Then check whether the local carrier requires a damage report and contact Negai Japan with the photos and tracking details.

Can Negai Japan guarantee compensation for damaged or lost packages?

No.

Some shipping methods may allow an inquiry or compensation process, but eligibility, amount, and result depend on the carrier’s rules, the shipping method, documentation, and investigation result.

Negai Japan can help review the situation, but we cannot guarantee the outcome of a carrier claim.

What happens if my package is returned to Japan?

Negai Japan first confirms the return reason, package condition, and any additional costs.

If the return was caused by unpaid import fees, missed pickup, address issues, or local carrier/customs action, the customer may need to pay the new shipping cost and any additional charges before reshipping.

If the return was caused by a confirmed Negai Japan handling error, we will review the case and explain the correction options.

Conclusion

Tracking and delivery issues can feel stressful, especially when you are waiting for an item from Japan and the status is not clear.

The best first step is to check the official tracking page, then the local postal service or carrier in your country.

If customs or local delivery action is required, follow the local instructions as soon as possible.

If you are not sure what the status means, Negai Japan can help review the available tracking and order information and explain the next step.
